ROSTER INFORMATION:

• Rostered team members are not required to have membership with a specific organization.
• All coaches and staff must have accurate contact information. Players must have correct jersey numbers, birthdates, and graduation years to be added to a roster.

Roster changes may be made until teams compete online check-in on Friday, November 20th, 2026.  If you need to make any changes after that, please contact the tournament staff. 

Requirements:

• Min: 6 players, 1 coach
• Max: 15 players, 4 coaches

Payment is due on the 1^st of the month before the event month. (December 1st, 2025)

The refund policy will be the following:

• Teams must withdraw at least 60 days before the event to receive a full refund.
• Teams that withdraw between 30 and 60 days before the event are eligible for a 50% refund.
• Teams that withdraw less than 30 days before the event are not eligible for a refund.

Refunds will be issued after the event, no later than the end of the 2025-26 event season.

• Entry fees may be paid online via credit card or ACH.
• Registered teams will receive a confirmation e-mail from AES and Player First. The player’s first e-mail will be received within two hours of registration.

HOTEL INFORMATION:

This event is a Stay-to-Play event.

All hotel rooms must be booked through Team Travel Source. A minimum number of room nights are required per team to meet the housing requirements below:

• 2 Day Tournament = 12 room nights
• 3 Day Tournament = 18 room nights

Mileage Exemption: Clubs located less than 75 miles from the playing venue are not required to meet the minimum housing requirements. Any club with a mileage exemption that still wants to book rooms for the weekend are encouraged to book through Team Travel Source.

Any mileage exemption requests must be emailed to Chris.Hames@topcourtevents.com.

We recommend you add volleyball@teamtravelsource.com and volleyball.notifications@teamtravelsource.com to your email contacts to ensure you receive notifications from the TTS team following registration.

• By entering the event, participants and spectators consent to photography and video recording. 
• Event media may be used for promotional purposes by TopCourt. 
• Individuals requesting media exclusion must notify tournament staff in writing before the event.

Admission & Spectator Policies 

• Children ages 10 and under receive free admission. 
• All spectators ages 13+ must purchase an event pass or daily ticket. 
• Wristbands/passes must be always worn and visible. 
• Lost or removed wristbands will not be replaced and will require additional purchase if lost or removed. 
• Re-entry is permitted only with a valid wristband. 
• Event staff reserve the right to deny entry or remove any spectator for disruptive behavior. 

Refund Policy 

• Refund requests must include an attached receipt or invoice number to qualify. 
• Processing fees are non-refundable. 
• Weather-related delays or schedule changes do not automatically qualify for refunds. 
• Approved refunds may take 5–10 business days to process. 
• All policies, schedules, pricing, and event details are subject to change without prior notice. 
• The organizer reserves the right to modify, update, or amend these terms and conditions at any time.
